The Organization
Arsha Vidya Parampara Trust was founded with a mission to preserve and propagate the timeless teachings of Advaita Vedanta through structured learning, publications, and spiritual education initiatives.
Founded in 2017, the Trust is led by Swami Sarvananda Saraswati, who spent part of his professional career in the technology industry before responding to a deeper calling towards spirituality and traditional Vedantic studies. Today, he is a respected teacher and author whose published works include Mundaka Upanisad: With a Precise English Translation and Vichara Sagara: An Advaita Vedanta Treatise on Enquiry into the Self, available on Amazon Kindle.
Since 2021, the organization has relied on Zoho to run its day-to-day operations and support its mission. Today Zoho ERP, Zoho Campaigns, and Zoho Sites together form their operational backbone.
The Challenge
With the trust undertaking the development of Atma Vidya Gurukulam in Hosur and renewing focus on their educational activities, financial transparency and systematic efficiency becomes an important mandate.
Swami Sarvananda Saraswati operates on a simple principle: every donation should be traceable, accountable, and aligned with its educational and spiritual mission. As the number of students grew, donor participation grew alongside it, creating a greater need for structured systems to manage contributions, reporting, communications, and compliance.
The organization had several operational requirements:

The ability to operate and scale effectively with a lean administrative team

To achieve this, it needed a solution that was easy to manage in-house, capable of automating routine administrative processes, and flexible enough to support future expansion. With the Gurukulam project progressing and the organization preparing for its next phase of growth, a unified platform that could serve as the operational framework for donor management, accounting, communications, and compliance was necessary.
The Solution: Zoho ERP and the Zoho Ecosystem
What began as an accounting and donor management platform in 2021 with Zoho Books evolved into a unified framework supporting donations, financial reporting, communications, compliance readiness, and expansion initiatives such as their Gurukulam project.
These activities gradually extended their use of the Zoho ecosystem to include Zoho ERP, Zoho Campaigns, Zoho Sites, and Zoho Payments, enabling them to manage day-to-day activities efficiently while maintaining complete visibility into donations, expenditure, and financial reporting.

For the Trust, accounting is no longer viewed as a year-end compliance activity. Instead, Zoho ERP functions as a management information system that provides real-time visibility into how funds are received, allocated, and utilized across various initiatives.
This level of transparency enables better decision-making while reinforcing the accountability expected of a donor-funded charitable organization.
Digital Donations and Continuous Financial Oversight
Today, donations submitted through the Trust's website powered by Zoho Sites are processed digitally via Zoho Payments, with donor records, accounting entries, and receipts automatically generated in Zoho ERP.
Every contribution is instantly available for reporting and audit purposes, eliminating manual reconciliation and improving donation management efficiency by over 60%.
By providing auditors with direct access to financial information within Zoho ERP, they eliminated their dependence on traditional annual review cycles. Balance sheets, income and expenditure statements, and other financial reports are now available on demand, reducing audit preparation timelines from months to days with its capabilities to generate Form 113 (Formerly Form 10BD) and related statements.
Financial records now remain organized, accessible, and audit-ready year-round, transforming audits into a faster, continuous oversight process.

Building a Scalable Foundation for the Future
With Zoho ERP supporting its day-to-day operations within a digital-first framework, the Trust continues to make progress on the construction of its Atma Vidya Gurukulam campus in Hosur, Tamil Nadu.
The organization expects Zoho ERP to continue serving as the central operating platform supporting these expanded activities as they are preparing to implement Foreign Contribution Regulation Act (FCRA) compliance workflows in the near future.
