Web Forms
Web forms are public forms that you can use to collect information from users inside or outside your organization. In Zoho Commerce, you can create web forms and associate them with custom modules. Once you publish a web form, you can share the link with others so they can submit information.
The information submitted through the form is stored in the associated custom module for review and approval.
Scenario: Zylker wants to collect customer inquiries and product interest details from visitors to its website. They create a web form in Zoho Commerce and associate it with a custom module. They then share the public URL with customers, who fill in the form and submit their details. The submitted information is recorded in the custom module for follow-up.
Note: This feature may be available only in certain plans. Check the pricing page to confirm your plan includes web forms.
Create a Web Form
You can create a web form in two ways:
- from the Web Forms page in Settings
- from a custom module
From the Web Forms Page in Settings
To create a web form:
- Go to Settings on the top right corner of the page.
- Select Web Forms under Developer Data.
- Click + New Web Form on the top right corner.
- Enter a Web Form Name and Description.
- Select the Custom Module where the submitted information should be stored.
- If needed, click + New Custom Module to create one.
- Click Next.
- The default layout for the selected custom module is displayed. If you have multiple layouts, select the required one from the Layout dropdown.
- Add the relevant fields to the form and click Next.
- In the Configure Preferences pane, set the following options:
- Success Message: Enter the message displayed after the form is submitted.
- Redirect to another page: Enable this option if you want users to be redirected after submission.
- Open in a different tab or same tab: Choose the preferred redirection behavior.
- Display CAPTCHA: Enable this option if submissions should include CAPTCHA verification.
- Click Save.
Once saved, the web form’s URL is displayed in a pop-up. Click Copy and then Close.
Note: If your form includes fields that collect sensitive information such as card details, OTP, or other sensitive data, it will be saved but not published. The form status will be marked as Spam, and you will be asked to remove those fields before publishing.
From a Custom Module
You can also create a web form directly from a custom module if layouts already exist for it.
To do this:
- Go to Settings on the top right corner of the page.
- Click the required custom module under Custom Modules.
- In the Overview tab, hover over the required layout and click the More button.
- Select Create Web Form.
- Continue from step 4 in the previous section.
Fill Details in a Web Form
If you have the URL of a web form, you can open it in a browser and submit data through it.
To submit a form:
- Open the web form URL in a browser.
- Fill in all required details.
- Enter the CAPTCHA, if it is displayed.
- Click Submit.
You can also pre-fill fields in the URL by appending a question mark (?) and the API name of the custom field followed by the value, for example:
https://your-domain/...?cf_customer_name=bailey_miles&cf_order_id=12345
You can add multiple fields by separating them with an ampersand (&).
Report a Spam Form
If you believe a form is collecting sensitive information, you can report it.
To report a form:
- Scroll to the bottom of the form and click Report.
- You will be redirected to Zoho’s abuse reporting page.
- Fill in the required details and click Submit.
The submission will be reviewed and the form may be blocked if it violates the rules.
Approve a Submitted Form
If someone submits a form using the public URL, the data is temporarily stored in the custom module associated with the web form. It must be approved before it becomes a permanent record.
To approve a submitted form:
- Go to Custom Modules.
- Click the custom module associated with the web form.
- Click Web Forms Pending Approval in the top right corner.
- Open the submission you want to approve.
- Click Accept.
- In the confirmation pop-up, click Yes.
The form entry will now be added as a record in the custom module and can be viewed from the custom module list page.
Delete a Submitted Form
If a submitted form is no longer required, you can delete it before approving it.
To delete a submitted form:
- Go to Custom Modules.
- Click the custom module associated with the web form.
- Click Web Forms Pending Approval in the top right corner.
- Open the submission you want to delete.
- Click the More icon and select Delete.
- In the pop-up, click Proceed.
Edit a Web Form
If you want to make changes to an existing web form, you can edit it.
To edit a web form:
- Go to Settings on the top right corner of the page.
- Select Web Forms under Developer Data.
- Click the More Options next to the required web form and select Edit.
- If you want to change the form layout, click Edit Layout.
- If you want to update the form preferences, click Configure Preferences.
- Make the necessary changes and click Save.
Mark a Web Form as Inactive
If you do not want to use a web form temporarily, you can mark it as inactive without deleting it.
To mark a web form as inactive:
- Go to Settings on the top right corner of the page.
- Select Web Forms under Developer Data.
- Click the More Options next to the web form and select Mark as Inactive.
Mark an Inactive Web Form as Active
If you need to reuse an inactive web form, you can make it active again.
To mark a web form as active:
- Go to Settings on the top right corner of the page.
- Select Web Forms under Developer Data.
- Click the More Options next to the inactive web form and select Mark as Active.
Delete a Web Form
If you no longer need a web form, you can delete it.
Warning: Once a web form is deleted, people will no longer be able to use it to submit information. Any pending submissions that have not been approved will still remain available.
To delete a web form:
- Go to Settings on the top right corner of the page.
- Select Web Forms under Developer Data.
- Click the More Options next to the web form and select Delete.
- In the confirmation pop-up, click Delete.
Blocked Web Forms
If a web form is reported for collecting sensitive information, Zoho Commerce may review and block it. If your form is blocked, contact the support team to request reactivation.
